Administrative Manager (M/F)

Our client, The Institute of Internal Auditors Luxembourg (IIA Luxembourg), is seeking a dynamic and autonomous Administrative Manager to oversee the daily operations of the association. This is a unique opportunity to be at the heart of the organisation, performing essential administrative tasks while also engaging with Board members, IIA Global, and the members of the Luxembourg IIA Chapter.
Working autonomously, you will be responsible for administrative management related to the ongoing activities of the association (invoice processing, office management, Board minutes…), as well as organising training and conferences.
This position will also allow you to work on the digitalisation and process optimisation of the association’s projects while making a positive impact on the organisation and its community.
Poste
Reporting to the Board and its Chair, your responsibilities will notably include:
- Managing invoices, payments, and financial reports.
- Overseeing the administrative life of the entity, including organising meetings, preparing agendas, drafting minutes, and ensuring proper document execution.
- Organising and promoting events/conferences and training sessions.
- Managing digitalisation projects to improve automation (invoicing, reports…).
- Liaising with IIA Global, other national institutions, relevant authorities and members of the organisation.
- Coordinating with Board members.
Profil
- You have experience in administrative management, ideally with a financial and legal
- You have an understanding of ASBL regulations in Luxembourg; a general understanding of Internal Audit and Governance principle is a plus.
- You are fluent in French and English.
- You are customer-driven with a solution-oriented mindset, always looking for ways to improve processes and challenge the status quo.
- You can work independently (as the sole employee of the association) while maintaining constant communication with administrators and members.
- You have excellent organisational and interpersonal skills.
- You are proficient in Excel and eager to develop your knowledge in CRMs like Odoo.
